Automation & AI

Workflow automation for small businesses: less repetitive work

We automate the routine steps in your processes and connect the tools you already use, adding AI only where it genuinely helps — and keeping people in control of the decisions that matter.

The problem

Signs a process is ready for automation

Automation works best on tasks that are frequent, rule-based and currently done by hand.

Copy-and-paste between systems

Orders, contacts or bookings are re-typed from one tool into another, with a risk of mistakes every time.

Enquiries that wait

New leads arrive by email or form and wait until someone has time to sort, forward and answer them.

Repetitive emails and reminders

Confirmations, follow-ups and reminders are written by hand even though they follow the same pattern.

Information buried in documents

Details in invoices, PDFs or emails have to be read and entered manually before anyone can use them.

Tools that don't talk to each other

Your website, CRM, accounting software and spreadsheets each hold part of the picture.

Unsure where AI fits

You see potential in AI but want a careful, practical starting point rather than a large experiment.

What we deliver

What we build

Automations are built around your existing tools wherever possible, with clear documentation of what runs where.

  • Workflow automation

Multi-step workflows triggered by events such as a new form submission, order, file or email.

  • System integrations

Connections between applications through their APIs or webhooks, so data stays consistent across tools.

  • Lead and enquiry handling

Capturing enquiries from your website and other channels, routing them to the right person and sending timely acknowledgements.

  • Document and data processing

Extracting, checking and filing information from emails, PDFs and spreadsheets.

  • AI assistants

Assistants that draft replies, summarise documents or answer questions from your own material, with human review where accuracy matters.

  • Monitoring and alerts

Notifications when an automation fails or when something needs a person's attention.

Use cases

Examples of what can be automated

Typical starting points, from a single repetitive task to processes that span several teams.

Small and local businesses

  • Sending website enquiries to the right inbox with an automatic acknowledgement
  • Turning booking or order notifications into calendar entries and spreadsheet rows
  • Drafting replies to common customer questions for a person to check and send

Professional firms and growing teams

  • Keeping records in sync between a CRM, accounting software and spreadsheets
  • Routing incoming requests to the right team based on their content
  • An internal assistant that answers questions from company documentation
Our approach

How we approach automation

We automate a process only once we understand it — including its exceptions.

  1. 01

    Map the process

We walk through the current process with the people who do it, noting each step, tool and exception.

  2. 02

    Prioritise

We pick the steps worth automating first — usually the most frequent and error-prone — and agree what success looks like.

  3. 03

    Build

We build the workflow or integration, using your existing tools wherever possible.

  4. 04

    Test with real cases

We run the automation against realistic examples, including edge cases and failures, before it goes live.

  5. 05

    Hand over & monitor

We document how it works, set up alerts and agree how future changes will be handled.

Technologies

Technologies we may use

We choose tools based on what you already use, your data-protection requirements and who will maintain the automation.

Automation platforms

  • Make
  • Zapier
  • n8n

Integrations & code

  • REST APIs and webhooks
  • TypeScript / Node.js
  • Serverless functions

Business tools

  • Google Workspace
  • Microsoft 365
  • CRMs and other platforms with an API

AI

  • Large language model APIs
  • Search over your own documents

Some platforms have usage-based costs or limits, and AI output can be wrong. We explain these trade-offs up front and recommend human review for anything customer-facing or business-critical.

Questions

Automation questions

Do we need to replace our current software?

Usually not. Most automations connect the tools you already use. If a tool offers no way to exchange data, we'll explain the options.

Is it safe to use AI with our business data?

It depends on the data and the provider. We agree what information the AI may see, choose providers and settings accordingly, and avoid sending sensitive data where it isn't needed. For important decisions, a person stays in the loop.

What happens if an automation fails?

We design workflows to report errors instead of failing silently, and document how to check and re-run them.

Where should we start?

With one process that is frequent, repetitive and easy to measure. A small, well-defined first automation is the best way to see whether the approach suits your business.

Are there ongoing costs?

Possibly. Automation platforms and AI services often charge by usage or subscription. We estimate these costs in the proposal so there are no surprises.

Have a process that takes too much time?

Describe the task, the tools involved and how often it happens. We'll tell you honestly whether automation makes sense.
